Event Terms

Deposit & Contract

Crown Valley Winery requires a $750.00 deposit along with a signed contract required to reserve your event on our calendar. The deposit will be applied to your final bill, excluding tax, gratuity and incidentals. This is required for larger events and weddings. Guest renting the Vintage Loft only have to pay for the rental fee in-full to reserve the date on the calendar.

Crown Valley Brewery requires a deposit to reserve your date on the calendar. The deposit is half the full price of the event. The event must be paid in full one week prior to your event.

Cancellations

Cancellations must be made 90 (ninety) days prior to your event to receive a 50% refund. If cancellations are made less than 90 (ninety) days prior to your event, 100% of the deposit is forfeited.

Weather & other Conditions

Crown Country is not responsible for any act of mother nature that may postpone your event. If you require outside seating, tents and heaters can be provided for an additional fee. There will be no rain dates; all events are rain or shine.

Payments & Billing

Thirty Days Prior to the Event- A payment of one half the balance is due. This balance is based on the initial estimated number of attending guest. Two Weeks Prior to the Event- The CONFIRMED number of guests is due. The FINAL balance is based on the CONFIRMED number of guest. One Week Prior to the Event- The second half of the FINAL balance is due.

Tax and gratuity applies to all food and beverage charges. If client incurs additional charges during the event the additional bill will be available the day after the event. Payment will be due within ten days. Crown Country accepts cash, all major credit cards and checks.

Food

All menus must be confirmed two weeks prior to your event. Due to food ordering and staff requirements any changes made within two weeks prior to your event may result in additional charges. Please note the guarantee guest count is due two weeks prior to your event date. In the event that this information is not received and confirmed, the expected number of guests will automatically be used as the guarantee number and the client will be charged accordingly. Outside sources of liquor, wine or beer may NOT be brought onto any Crown Country property. Crown Country prohibits outside catering companies on premise. If you do not see an item on our menu, please ask and we will do our best to accommodate you.

Tax & Gratuity

All events are subject to Missouri State sales tax and gratuity on food and beverage. Gratuity is 15% on buffet and 20% full service dinner.

Privacy

The Crown Valley Wineryâ„¢ Barrel Room is the only private space during business hours and includes the use of the lower south patio. The Crown Valley Wineryâ„¢, The Brewing and Distillery Co.â„¢, The Crown Valley Champagne Houseâ„¢ Tasting Room, The Crown Valley Wineryâ„¢ Pavilion, Vintage Loft and all other outdoor spaces will be open to daily customers until the end of the business day. Please note there is live music on most Saturdays and Sundays, April through October. A full band schedule is on our website. Please take this into consideration when planning your special day in Crown Countryâ„¢. 

Alcohol Services

Our staff considers their primary focus to the enjoyment and safety of all guests. Our staff monitors individuals consumption and will use friendly, but firm, techniques to slow or cease service to any individual of which we believe to be a dangerous risk to themselves or others. You will provide your endorsement of our staff decisions in the event that intervention is necessary. Please note beer and liquor are not allowed in the public spaces during business hours. Alcohol that is not permitted and taken into these public spaces during business hours will be confiscated by our staff.

Price Guarantees

After the contract is complete and the deposit is made you are guaranteed the room rental and Crown Valley brand wine/beer/liquor prices. We do everything possible to maintain consistent food and bar pricing, however, if market conditions prevail, dictating otherwise, Crown Countryâ„¢ reserves the right to increase prices with 15 days of written notice.

Event Conditions

Table Layout and Decorations

We provide a draft table plan to help finalize your seating arrangements or table locations. All tables are set with white linens, including patio tables, as needed. Room decorations are generally not permitted; however, we may be able to accommodate special requests by arrangement. At Crown Valley Winery™ the private rooms are available at least 2 hours prior to your event to allow for decorating. Contact your event coordinator to find out when you are allowed to set up at all other locations. All decorations must follow Crown Country™’s decoration policies. Absolutely no sticky materials, nails, pushpins or staples will be used on any of our interiors or exteriors. In the event that material is used that damage any Crown Country™’s interior space there will be a minimum charge of $100.00 applied to your final bill. For safety purposes, candles are only permitted if they are fully enclosed or floating in water. We reserve the right to decide if your candles meet our requirements. No confetti, glitter, shredded material, birdseed or rice is permitted inside or outside the facility. A minimum fee of $100.00 will be applied to your final bill in the event that these materials are used. Please remove all inside and outside decorations at the end of your event. This includes items that other vendors may have set up. Crown Country is not responsible for items left after your event and does not guarantee the security of those items.

Smoking Poicy

All Crown Countryâ„¢ locations are smoke-free. Smoking is allowed only in designated outside areas. Failure to comply by all attendees at your event will result in a minimum charge of $500.00.

Personal Effects

Although we endeavor to safeguard your personal property, we assume no responsibility or liability.

Contractual Liability

Performance of this agreement and any event referenced by this agreement is contingent upon the ability of Crown Countryâ„¢ to complete its duties. Crown Countryâ„¢ will not be responsible for any acts instigated by other acts of mother nature. Including weather, which shall impede its ability to perform hereunder. In the event of litigation, each party agrees to be responsible for their respective attorney fees.

Responsibility for Injury or Damage

The guest agrees to hold harmless employees and owners of Crown Countryâ„¢ from any actions which may arise due to claims of damage, injury or death sustained by any guest if such results are caused by the negligence of the guests or participants.

Proof of Insurance

A homeowner or rental policy naming Crown Countryâ„¢ as additional insured for the event must be provided no more than 30 days before the event. Persons signing the contract must be the one providing the insurance. Liability in the amount of $1,000,000.00 must be provided for the day of the event. This certificate is usually provided free or for a small charge from your insurance company. If you would like we can provide you with a company that will carry event insurance policies that will meet our guidelines.

Time line Checklist

  • Deposit and signed contract required to book your event on our calendar.
  • One (1) month before your event ½ the balance is due.
  • Two (2) weeks before your event your final Dinner and Drink choices are due.
  • Two (2) weeks before your event your final guest count is due. This will be the guest count we will use for billing.
  • One (1) week before your event the final balance will be due.

Event Limitations

Services Included

  • Crown Country provides the use of an event coordinator to assist you while planning your special occasion with us; he/she will provide assistance and advice varying from florists to local hotels, shuttles as well as available meal and beverage options. The event coordinator will be present through the duration of your event to ensure everything proceeds according to your specifications.
  • Crown Country provides banquet chairs and tables enough to accommodate up to 150 guests.
  • Sound system and music are available in the Crown Valley Barrel Room and Crown Valley Brewery (most guests enjoy this option during a meal or cocktail reception).
  • Complete set up and clean up of tables and chairs will be provided by the Crown Valley event staff.
  • Disposable dinner ware will be provided by Crown Country, or upgrade to china and silverware for an additional $3.50 per guest.
  • Schedule a complementary wine or beer tasting prior to your event in order to select desired beverage(s) to be served on your special day. If necessary, the event coordinator will be willing to provide additional assistance regarding beverage selections.
  • We offer flexible set up time(s), depending on your desired location for the event. Please discuss this option with the event coordinator.
  • Room rental(s) are offered in three and four hour blocks. Three hour block rental(s) will be provided ONLY at Crown Valley Brewery. Four hour block rental(s) are provided at all other Crown Country properties. Note: Additional hours may be purchased in advance for a flat rate of $200.00 per hour, with a mandatory extension of beverage package.
  • Guests receive a complimentary half hour in order to gather personal belongings after a Crown Valley event.

Limitations

  • Crown Valley Winery does NOT book large events or weddings in October or on major holidays.
  • Crown Valley’s Barrel room accommodates up to 150 people when using the indoor space and the outdoor patio. However if you would like to extend onto the lawn we can accommodate up to 200 people. Please discuss further details with the Event Coordinator.
  • Crown Valley Winery Tasting Room is available for rental after business hours ONLY and will accommodate a maximum of 80 guests.
  • Crown Valley Winery Pavilion is available for rental after business hours ONLY and will accommodate a maximum of 125 guests.
  • Crown Valley Brewing and Distilling Co. tasting room accommodates up to 100 guests inside and 125 guests outside and is available for rental after business hours ONLY.
  • Crown Valley Champagne House Tasting Room accommodates up to 50 guests and is available for rental after business hours ONLY.
  • All Crown Country locations DO NOT permit outside catering companies on premise.
  • Rental periods shall go no later than 12:00 Midnight at Crown Valley Winery or no later than 1:00 AM at Crown Valley Brewery. NOTE: Extensions can be granted, please discuss with the event coordinator.
